  1. Registration

Registration for the conference is definitive after payment is received by ACENDIO. Within a week you will receive confirmation by email. Subsequent changes on the registration are to be sent to the organizer by e-mail to  No tickets will not be sent to you. Your email address in combination with a link and password will be your entry to the online event. Registrations are possible until March 18, 2021.

  1. Cancellation

A free cancellation is possible until February 15, 2021.

In case of later cancellations or non-appearance of the participant, ACENDIO will charge 100% of the participation fees. Cancellations must be made in writing by e-mail to

A subscribed participant can be replaced by another person without additional costs. For this purpose, please inform us of the replacing participant no later than March 10, 2021, by e-mail to providing the valid registration information: name, credentials, position, email address. 

If a participant is not able to participate in the event or parts of the event due to illness, he/she has no claim to a refund or waiver of the participation fees.

  1. Conference fees

The participation fees include the conference fee and content, the conference app, online conference access, and an individual ACENDIO membership fee for two years (biennium).

ACENDIO can offer special discounts (e.g. for large student groups).  In order to take advantage of such discounts, please contact ACENDIO and send the required information (e.g. on student names/certificates/University affiliation etc.) by email to . A subsequent refund due to not submitted student certificates is not possible. No discounts will be granted retrospectively.

  1. Changes

ACENDIO reserves the right to make program changes, price changes, relocation or cancellation for urgent reasons. An urgent reason can be, for example, not reaching the necessary number of participants, due to which the organizer reserves the right to cancel the event. In addition, no guarantee is given for the free choice of parallel sessions if individual sessions are fully booked due to space restrictions or maximum participant numbers reached. Should individual speakers announced in the program be unable to attend, the organizer will provide an equivalent replacement.

  1. Online conference platform and app

At the online conference platform, the participant moves around and enters or leaves rooms as in a live event. Communication with other participants will be possible in a chat functionality and life in chatrooms where each participant will adopt a professional attitude. During conference presentations microphones will be muted to limit background noises. During presentations, questions can be asked using the chat function in the respective session. The chair of each session can invite participants to speak and will unmute microphones.  

The conference app will contain the program, abstracts and overview of attendees. Each attendee adds his professional information to his/her profile.  By accepting these terms, the participant agrees to the publication of his profile in the app, visible for all participants. Abstracts and authors will be published in the conference app based on submitted data. All conference data in the conference app will be accessible during 3 months after the event.  Private communication with other participants in the conference app is possible during this time. Chat data cannot be downloaded. 

  1. Copyrights/rights of use

The copyrights and rights of use of the data made available before, during and after the conference must be observed and granted. The permission to publish – even as extract – the documents provided by the conference organizer is limited to ACENDIO’s own materials and internal use. The conference documents may not be passed on to third parties or reproduced without the consent of the organizer. Presentations are not recorded. Due to copyrights and rights of use as well as personal rights we point out that the creation of audio, photo and video recordings by the participants during the conference is prohibited.

  1. Data protection

By registering, the participant agrees that ACENDIO may store and process his personal data for the purpose of handling the event, future membership services and provision of information. 

  1. Picture and video documentation

Before, during and after the event there will be photo and/or film shots. Selected videos/photographs will be published by ACENDIO within the framework of internal and external reporting both in printed form (newspaper articles and/or event brochures/flyers) and online (ACENDIO website, social media, newsletter advertisements). These recordings are exclusively used for reporting and event management.

  1. Certificate for attendees or presenters

On personal request before March 1, 2021 ACENDIO provides an attending or presenter’s certificate. Request should be made by sending an email titled: Certificate request to . This email should contain the specification of the request (attending or presenter).  Co-authors are not entitled to a presenters’ certificate. The data for the conference registration will be used for the certificate. The certificate will be emailed to you within 4 weeks after the event.
